1. Appointment Cancellations
At Fox Chiropractic Clinics, we understand that circumstances change. However, missed appointments or late cancellations can impact our ability to provide timely care to other clients. We kindly ask all patients to provide adequate notice when cancelling or rescheduling an appointment.
- Minimum Notice: Please provide at least 24 hours’ notice if you need to cancel or reschedule an appointment.
- Late Cancellations: Cancellations made with less than 24 hours’ notice may incur a late cancellation feeequivalent to 50% of the appointment fee.
- No-Shows: If you fail to attend your appointment without prior notice, you may be charged the full cost of the appointment.
2. How to Cancel or Reschedule
Appointments can be cancelled or rescheduled by:

- Using our online booking system
- Using the booking system on the app
Please ensure you receive confirmation of the cancellation to avoid charges.
3. Prepaid Appointments and Treatment Plans
For patients who purchase prepaid appointments or are on a treatment plan, the following terms apply:
- Refunds: Refunds for unused sessions can be requested within 14 days of purchase, provided no sessions have been used. If any appointments have been attended, the refund amount will be calculated based on the standard, non-discounted price of the sessions already used, plus a £10 administrative fee.
- Partial Refunds: After 14 days, partial refunds may be issued at our discretion in cases of medical necessity or other exceptional circumstances.
- Transfer of Credit: Unused sessions may be transferred to a family member or friend with prior written notice and approval.
4. Refunds for Products
Products purchased from our clinic (e.g., supports, orthotics, or wellness tools):
- Unused Products: Can be returned for a full refund within 14 days of purchase, provided they are unused, unopened, and in their original packaging.
- Faulty Items: If an item is defective, we will offer a repair, replacement or full refund in accordance with your rights under the Consumer Rights Act 2015.
- Used or Opened Items: For hygiene reasons, we cannot accept returns of used or opened items unless faulty.
5. Exceptional Circumstances
We appreciate that emergencies and unforeseen situations occur. If you feel you have a valid reason for missing or cancelling an appointment, please contact us as soon as possible. Each case will be reviewed individually and with compassion.
6. Refund Method and Timelines
All refunds will be issued to the original payment method and may take 5–10 business days to appear, depending on your bank or payment provider.
